Sponsor Licence Renewal Guide for 2024: What You Need to Know

Sponsor Licence Renewal Guide for 2024: What You Need to Know

If you are an employer with a sponsor license, keeping track of your license renewal process is important to continue sponsoring migrant workers. The process is straightforward, but it’s crucial to apply on time and follow the necessary steps to avoid any issues. This guide explains Sponsor Licence Renewal, including important deadlines, fees, and tips for a smooth process.

How to Renew Your Sponsor Licence

Renewing your sponsor license is a simple process if you follow these steps:

  • Log into the Sponsor Management System (SMS): Use your Level 1 User ID and password to access the system. Don’t share your login details.
  • Select “Licence Summary”: On the left-hand side, find and click on “Licence Summary applications and services”.
  • Choose “Licence Renewal”: This option will start your renewal process.
  • Select the Correct Fee: Pick the right fee based on your business type and size (see the fee details below).
  • E-sign and Submit Declaration: Confirm that all details are accurate and sign the Key Personnel declaration.
  • Pay the Fee: Pay for the renewal using a card and save your payment receipt.
  • Save the Submission Sheet: This sheet contains confirmation of your renewal submission, the reference number, and the fee paid.

Once your application is submitted, your license will be automatically extended for 4 years, provided the application is submitted before the expiry date. However, your renewal will only be fully approved once the Home Office reviews and approves your application.

What Documents Do You Need to Submit?

In most cases, you don’t need to submit additional documents for a sponsor license renewal. However, there are some exceptions:

  • International Sportspersons: Employers in this category must submit a sports governing body endorsement.
  • Temporary Worker – International Agreement Licence: If you have this license, you may need to submit a consent letter from a diplomatic mission or international organization.

The Home Office may request additional documents if needed, but this is rare.

When Can You Apply for Licence Renewal?

You can apply for a sponsor license renewal up to 3 months before your license expires. The Home Office will send reminder emails to the Authorising Officer of your business, but it’s a good idea to start preparing well in advance to avoid last-minute issues.

Could a Home Office Visit Happen?

While sponsor license renewals don’t always trigger a Home Office visit, they could if there are inconsistencies or discrepancies in your application. For example:

  • If you’ve moved office but didn’t report the change within 20 days, it could be flagged.
  • If you’ve stopped sponsoring a worker but didn’t report it within 10 days, this could also be spotted.

These issues could lead to a compliance visit, so it’s important to ensure your records are up-to-date before renewing your license.

Processing Times

Once you’ve submitted your renewal, processing times can vary. In most cases, it takes a few weeks. Even if it takes longer, you can continue using your Sponsor Management System as usual while you wait for a decision. There is no priority service available for expedited renewals.

Fees for Sponsor Licence Renewal

The renewal fee depends on the type of sponsor license you hold:

  • Small or Charitable Organisations: £536
  • Temporary Worker Route: £536
  • Other Sponsors: £1,476

Make sure you pay the correct fee based on your business classification. If you underpay, your renewal application will be rejected, and you may lose your sponsor status if this happens after your license expires.

What Happens If You Miss the Renewal Deadline?

You cannot restore your license if you forget to renew it or let it expire. You will need to apply for a new sponsor license. In this case, you’ll lose access to your old Sponsor Management System, but if your new application is successful, you can resume sponsoring workers.

However, if you have workers on an expired license, you must apply for a new license promptly. If there is a delay, your sponsored workers’ visas will be curtailed (cut short) within 60 days of your license expiry.

Renewing your sponsor license is critical to continuing to sponsor migrant workers. By staying on top of the renewal process and ensuring all details are correct, you can avoid unnecessary issues.
